# What happens to my private AI if the server fails or my provider disappears?

**Short answer:** If the server fails you rebuild from backups of your settings, documents and prompts. If a provider vanishes, an account you own keeps your setup.

Apply for a place From $10,000 setup, then $48,000 a year. Five places a week.

## What happens to a private AI when the server fails?

The assistant stops answering until the server is rebuilt or replaced. What you lose depends on what you saved elsewhere, not on how good the server was.

A server is just a rented or owned computer. It can fail from a bad disk, a bad update, a billing lapse or a mistake. The plan below treats failure as a normal event you prepare for, the same way you prepare for a dead laptop.

## What do you need to back up?

Back up the parts that are hard to recreate. The model itself is usually the easy part, because you can download it again.

Keep a copy of each item below outside the server, in a place the server's failure cannot reach. Our guides on [backing up private AI data](https://freebornlabs.com/backup-private-ai-data) and [backing up and restoring model files](https://freebornlabs.com/local-ai-backup-restore-model-files) cover the mechanics, and the [security and backups guide](https://freebornlabs.com/diy/security-and-backups/) covers the habits.

- Settings and configuration files, including the one line that names the model
- Your saved prompts and standing instructions
- The documents the assistant reads, and the index built from them
- User accounts and who may use what
- A written list of every service the setup depends on

## How long can you go without the assistant?

Decide this before anything breaks, as a number of hours. Ask yourself which tasks would be hurt first: a morning briefing, a draft due by noon, a document search during a call.

Write the answer down for each task and name a fallback. The fallback can be plain: do it by hand, or use a shared app for work that holds nothing sensitive. Read the current terms of any shared app before you rely on it, and keep private material out of it.

The longer you can wait, the cheaper your plan can be. If a gap of a day is fine, a restore from backup is enough. If a gap of an hour hurts, you need a second server ready, as described in our page on [self-hosted AI failover](https://freebornlabs.com/self-hosted-ai-failover).

## How do you test that a restore really works?

Restore your backup onto a spare machine or a fresh server and use it for one real task. A backup you have never restored is a hope, not a plan.

Run this test on a calendar date, such as the first of each quarter. Time it with a clock. Check that the settings load, the documents are searchable, the saved prompts are there and a normal question gets a sensible answer. Write down what broke and fix the backup, not just the test.

Moving a setup is the same skill. If you have done a [model move to a new computer](https://freebornlabs.com/move-ollama-models-new-computer), you already know most of the steps.

## What if the provider disappears?

If the cloud account is yours, you keep the account, the data and the right to rebuild somewhere else. A provider going quiet is then an inconvenience, not the end of the setup.

That is the reason to own the account. When a service holds your files under its own login, you wait for it to answer. When the account is in your name, you can log in, copy what is there and start again with another host. Keep your own login details in a password manager and tell one trusted person where they are.

A host can also change its prices, rules or regions. Keep a short list of two other hosts you could move to, and note what each needs. The [host failover guide](https://freebornlabs.com/diy/host-failover/) walks through the steps.

## What does Freeborn do about failure?

Freeborn sets up and runs the assistant in a cloud account you own, and a person does the work. We do not hold your files, and you can walk away with the setup.

For a reader who depends on the assistant, that matters in plain ways. If Freeborn disappeared tomorrow, the account, the data and the configuration would still be yours. We do not promise that nothing will ever fail, because no one can. We help you plan for it, and hands-on help and on-call support are available by the hour as extras.

If you want a person to build the backup plan and the restore test with you, see the [private AI setup service](https://freebornlabs.com/private-ai-setup-service/). If you would rather do it yourself, start with the [DIY guides](https://freebornlabs.com/diy/) and our honest list of [what it takes to do this yourself](https://freebornlabs.com/what-it-takes-to-do-this-yourself/).

## What should you write down today?

Write a one page recovery sheet and keep a copy off the server. It should be short enough that someone else could follow it while you are away.

Include who to call, where each backup lives, how long a restore takes, the fallback for each task and the date of your last restore test. Update it when anything changes. Review it each quarter, on the same date as the restore test, and hand a copy to the person who would cover for you.

## What are the limits?

A recovery plan lowers the damage of a failure; it does not stop failures, and backups themselves can fail or be stolen. Protect them with strong passwords and access limits, and check them on a schedule.

The assistant can also be wrong, so check its outputs after any restore, since a changed model or setting can change answers. If your data falls under rules on records, privacy or retention, this page is general information, not legal, medical, financial or tax advice. Ask your own counsel, compliance officer or adviser how long you must keep backups. More questions are answered in the [private AI answers hub](https://freebornlabs.com/private-ai-answers/).

## What it costs

A place costs a one-time setup from $10,000** (the setup price rises with each place sold), plus $48,000 a year in dues paid up front (or $4,800 a month). Compute is billed to you at cost. Hands-on training and on-call support are extra, by the hour.

## Questions

### How often should I back up a private AI setup?

Back up whenever the settings or documents change in a way you would miss, and on a regular schedule besides. Pick a rhythm you will actually keep, then test a restore each quarter.

### Do I lose my chat history if the server dies?

Only if the history lived only on that server. Include chat logs in your backup if you want them, and decide how long to keep them with your own adviser.

### Can I switch hosts without starting over?

Usually yes, if your settings, documents and index are backed up and the model is named in one place. Expect some work to match the new machine, and test before you cut over.

### Who should hold the backup passwords?

You should, in a password manager, with one trusted person knowing where to look. Do not store them in the same place as the backup.

### Is a second server worth it?

Only if an hour offline costs you more than running the spare. If a day offline is fine, restore from backup and skip the spare.
