Is it safe to paste client data into ChatGPT?
Short answer: It depends on the plan, the data and your duties. Use this four-step test to decide before you paste anything a client gave you.

Is it safe to paste client data into ChatGPT?
Whether it is safe depends on three things: the exact plan you use, the kind of data you paste and the duties you owe your client. No single answer fits every case, so this page gives you a test instead of a verdict.
The test has four steps. Run them in order, and stop at the first step that says no.
What are the four steps of the test?
The four steps are: identify the data, read your duties, read the plan's terms, and try to remove identifying detail. Each step catches a different kind of problem.
Step one: what is the data? Sort it. Names, contact details and account numbers are identifiers. Privileged or regulated material (legal advice, health records, financial statements) carries extra rules. Anything under a client contract may be covered by that contract's confidentiality terms, even if it looks harmless.
Step two: what do your client agreements and professional duties say? Read the contract, and ask your own counsel or compliance officer whether a shared AI app fits your duties. Do not guess on this one.
What should you read in the plan's terms and settings?
Read the current terms of the exact plan you use, because policies differ between plans and change over time. This page states no vendor's policy on purpose.
Step three is to find the answers yourself, in writing:
- Training use: are your chats used to improve the model, and can you turn that off?
- Retention: how long are chats and files kept?
- Access: which staff, contractors or admins can read your chats, and when?
- Deletion: can you delete one chat or all of them, and how do you confirm it worked?
Can you remove identifying detail and still get help?
Often you can, and that is the cheapest way to cut risk: step four is to strip out what the AI does not need. Replace names with placeholders such as Client A, round or remove figures, and delete account numbers.
You can also summarize your own notes instead of pasting the client's file. Ask for help with the structure of an email or the logic of an argument, then fill in the real details yourself, outside the app. Redaction is not perfect, though: a few unusual facts together can still point to one person, so reread what you removed.
What does a team plan or the API usually change?
A team plan or an API connection usually comes with different terms than a personal account, but you must check, because the details vary. Business plans may add admin controls and written agreements, and API terms may treat prompts differently from the consumer app.
Your prompts still travel to the vendor's servers, so the four steps still apply. For a side-by-side view of the options, see private ChatGPT alternatives compared. If your worry is staff pasting data on their own, read how to stop employees pasting company data into ChatGPT.
What does a private setup change, and what does it not?
A private setup means fewer parties hold your data and you control retention, because the AI runs in an account or on hardware you own. You decide what is stored, for how long and when it is deleted. For the plain version, see running AI without ChatGPT seeing your data.
It does not remove the need for access controls, strong passwords, backups and your own review of every answer. If you would rather have a person do the setup, see the private AI setup service. If you would rather build it yourself, start with the DIY guides.
What is a good rule of thumb, and what is the checklist?
Never paste into any shared app anything you could not explain to the client if they asked where it went. That covers passwords, keys, full account numbers, government ID numbers and anything a client told you in confidence without your written go-ahead to share it.
Before you paste:
- I know what kind of data this is.
- I checked my client agreement and asked counsel or compliance if unsure.
- I read the current terms of this exact plan.
- Training use is off, or I accept it in writing.
- I removed names, numbers and unusual facts the AI does not need.
- I will check every answer before I use it.
What are the limits?
This test helps you decide, but it cannot tell you what your duties require or what a vendor will do next year. This is general information, not legal, medical, financial or tax advice. Ask your own counsel, compliance officer or adviser about your case. More questions are answered in the private AI answers hub.
The AI can also be wrong and can make things up, so a safe paste does not mean a safe answer.
- Terms and settings can change after you read them.
- Redaction can miss details that identify someone.
- A private setup still needs good passwords and access limits.
- No tool replaces a conversation with your counsel.
Questions
Does turning off chat history make pasting safe?
It may change what is stored or used for training, but the effect depends on the plan and its current terms. Read what the setting actually covers, and still run the other three steps.Should I tell my client I use an AI tool?
Some contracts and professional rules require it, and others do not. Check your agreement and ask your own counsel or compliance officer. Is it fine to paste data that is already public?
Public facts carry less risk, but a client's question or strategy about them may not be public. Paste the fact, not the client's context. What if an employee already pasted client data?
Find out which plan they used and what it retains, check whether your client agreements require notice, and ask your counsel what to do. Then set a written rule so it does not repeat. Can I just use placeholders for everything?
Placeholders work well for drafting and structure. They help less when the task depends on the real numbers or documents, and that is where a private setup fits better.Related guides
