Can a private AI search my own documents and email without sending them out?

Short answer: Yes. Your files are indexed on a box you control, the model reads the matching pieces, and each answer points to its source file so you can check it.

What does it mean for an AI to search your own files?

It means the assistant looks through your documents and mail first, then writes an answer from the pieces it found. You ask a question in plain words. The system finds the passages that match, hands them to the model, and the model answers from those passages.

The first step is called indexing. A program reads each file once, cuts it into small pieces and stores a searchable map of them. In a private setup that map lives on a machine in a cloud account you own, not in a shared chat app. Our page on private document search with a local model explains the parts in more detail.

Why do the answers point back to a source file?

A good setup shows which file and which page each answer came from, so you can open it and check. This matters because the model can misread a passage or blend two of them. A link to the source lets you catch that in seconds.

Treat every answer as a lead, not a verdict. If the answer says a contract renews in the spring, open the contract before you act on it. You stay the reader of record.

What should you index first, and what should you leave out?

Start with the folders you search most often and trust most. Add more only after the first batch works well. A small clean index beats a huge messy one.

Leave out anything you would not want an assistant to quote back. That includes files you no longer own the right to hold, drafts you never finished, and folders with other people's private details that you have no reason to search.

How are email and shared drives connected?

Mail and shared drives are connected only through your own sign-in and your permission. You grant read access to the accounts you pick, and you can take it away later. The connection reads what you could read yourself, no more.

Say so plainly to anyone else who shares a mailbox or drive with you. If a folder holds a colleague's files, ask them first. When you remove access, remove the matching part of the index too, so old copies do not linger.

Who can see which folders?

Only people you name, folder by folder. Search results should follow the same access limits as the files themselves. If an assistant could see a folder that a person cannot open, that person might read it through a clever question.

So set the limits in the index, not just in the chat window. An executive may search everything. An assistant or a family member may search only a shared set. Use strong passwords, a second sign-in step and backups, because a private setup lowers the number of parties holding your data but does not replace those basics. The security checklist is a good start.

What goes wrong with document search?

Four problems show up most. The index goes stale, so new files are missing. The search finds the wrong source, so the answer sounds right but cites the wrong file. The model summarises a file wrongly. Or a scanned page was never read well, so its text is garbled.

Fix these with habits. Re-index on a schedule. Ask for the source and open it. Test the setup with five questions whose answers you already know. If you meet a result that surprises you, check it before you repeat it to anyone.

What does Freeborn set up, and what do you decide?

If you would rather have a person do it, our private AI setup service covers the work. A person builds the index, connects the accounts you pick, sets the folder limits and trains you to use it, in a cloud account you own. We do not hold your files, traffic uses HTTPS, keys are stored encrypted and we do not train on your data. You can walk away with the setup.

You decide what goes in, who gets access and how long to keep things. That is your call, not ours. If you would rather build it yourself, start with the DIY guides. Questions to put to any provider are in our checklist.

What are the limits?

Search over your own files does not make the model always right, and it does not make old files tidy. Mail and documents often hold other people's information, so rules about privacy, records or professional duties may apply to you. This is general information, not legal, medical, financial or tax advice. Ask your own counsel, compliance officer or adviser what you may index and how long you must keep it.

What it costs

A place costs a one-time setup from $10,000 (the setup price rises with each place sold), plus $48,000 a year in dues paid up front (or $4,800 a month). Compute is billed to you at cost. Hands-on training and on-call support are extra, by the hour.

Questions

Does the AI read my whole mailbox all the time?

It reads what you choose to connect, on the schedule you set. You can limit it to named folders or a date range, and you can turn the connection off.

Can it search files on my laptop and in a shared drive together?

Often yes, if you grant access to each place. Each source is a separate permission, and you can add or remove one without touching the others.

What if I delete a file? Does the AI still know it?

Not if the index is refreshed after the deletion. Until then an old copy of its text may still be searchable, so remove it from the index too.

Will it search photos and scanned pages?

Only if the text can be read from them. Poor scans give poor results, so test a few before you rely on them.

Can my assistant use it without seeing everything?

Yes, if you set limits by folder. Give your assistant a shared set and keep the rest closed to them.
